Pixie Brand Studio ("I", "me", "my") is committed to protecting your privacy. This policy explains what personal information I collect, why I collect it, how I use and protect it, and the rights you have over it.

Who I am

​

Pixie Brand Studio is a sole trader business run by Miss Nicola Hayler, based in Horsham, West Sussex, United Kingdom.

I am the "data controller" responsible for your personal information.

The information I collect

Depending on how you interact with me, I may collect:

  • Enquiry & contact details - your name, email address, phone number and business name when you contact me or complete an enquiry form.

  • Client information - details you share so I can carry out your project, such as your business information, brand assets, website content, login access you choose to share, and correspondence.

  • Payment information - I use a third-party payment provider (bank transfer) to take payments. I don't store your full card details.

  • Email marketing details - your name and email address if you sign up to my mailing list.

  • Website usage information - when you visit my website, limited technical information (such as IP address, browser type and pages viewed) may be collected through cookies and analytics. See my Cookie Policy.

How I collect it

  • Directly from you - when you enquire, book, work with me, or sign up to my list.

  • Automatically - through cookies and analytics tools when you use my website.

  • Occasionally from third parties - for example, if you're referred to me, or via platforms I use to run my business.

Why I use your information, and my lawful basis

​

Under UK GDPR, I must have a lawful basis for using your information. I rely on:

  • To respond to your enquiry and provide a quote - my legitimate interest in answering people who contact me.

  • To deliver your project or service and manage our contract - performance of a contract with you.

  • To take payment and keep financial records - performance of a contract and my legal obligations (e.g. tax records).

  • To send marketing emails - your consent, which you can withdraw at any time.

  • To run and improve my website - my legitimate interests, and (for non-essential cookies) your consent.

Marketing

I'll only add you to my mailing list if you've asked me to, or where otherwise permitted. Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it or emailing me. Opting out of marketing won't affect emails I need to send you about a project you've booked.

Who I share your information with

​

I don't sell your information. I share it only with trusted providers who help me run my business, including:

  • Website hosting & forms - Wix

  • Email & communication - e.g. Google Workspace / outlook

  • Email marketing - Wix Email, where relevant

  • Payment processing - Bank transfer

  • Design & file-sharing tools - e.g. Canva, Google Drive, Notion

  • Website platforms I build on - Wix / Squarespace / Shopify, where I'm working within your own account

These providers only process your information on my instructions. I may also disclose information where required by law.

Transfers outside the UK

​

Some of my providers are based outside the UK (for example, in the US). Where your information is transferred internationally, I take steps to ensure it's protected by an appropriate safeguard - such as an adequacy decision or Standard Contractual Clauses - as required by UK data protection law.

How long I keep your information

​

I keep your information only as long as needed for the purpose I collected it:

  • Enquiries that don't become projects - up to 12–24 months, then deleted.

  • Client project records 0 for the duration of our work and afterwards as needed, including financial records kept for 6 years to meet tax and legal requirements.

  • Mailing list - until you unsubscribe.

How I keep it safe

​

I take reasonable technical and organisational measures to keep your information secure, including reputable providers, protected accounts and limited access. No online transmission is ever completely secure, but I work to protect your information appropriately.

Your rights

​

Under UK data protection law, you have the right to:

  • access the personal information I hold about you;

  • ask me to correct information that's wrong or incomplete;

  • ask me to delete your information (in certain circumstances);

  • ask me to restrict or object to how I use it;

  • request a copy of certain information in a portable format;

  • withdraw consent at any time (where I rely on consent).

Complaints

If you're unhappy with how I've handled your information, please contact me first at info@pixiebrandstudio.co.uk - I'll acknowledge your complaint within 30 days and do my best to put things right.
